Get set up, and find answers.

A step-by-step guide to setting up a new workspace, help for existing customers and answers to common questions.

Getting started

Set up your workspace in eight steps.

Each step names the place in your workspace sidebar where it happens.

  1. 1

    Create your workspace

    Get started

Enter your name, email and workspace name, choose the services your business offers, then pick a plan. Starter is free. Paid plans continue to Stripe Checkout.

  2. 2

    Set your warehouse location

    Settings

Add the address your team starts from under Warehouse Location. Route Optimization uses it as the starting point for routes. Times across the workspace are shown in US Eastern time.

  3. 3

    Add your employees

    Employees and Invitations

Add employees one at a time, or use Import Employees with a CSV file. Invite the people who should sign in to the employee portal.

  4. 4

    Add your clients

    Clients

Use Add Client or Import Clients. A client doesn't need a login to be scheduled or invoiced. Invite clients to the client portal only if you want them to use it.

  5. 5

    Organize teams

    Groups

Put employees who work together into groups so you can book work for the whole team.

  6. 6

    Schedule the work

    Schedule

Choose Add New Service to book a visit, assign it to an employee or a group and set it to repeat if it's regular work.

  7. 7

    Take requests and plan routes

    Business plan and up

    Service Requests and Route Optimization

Review incoming requests, schedule them, then put each employee's stops in order for the day.

  8. 8

    Invoice and review

    Invoices and Dashboard

Choose Create New Invoice when work is done, and use the dashboard to follow today's shifts and pending requests.

FAQ

Frequently asked questions

What is Opshify?

Opshify is workforce and service-operations software. It keeps your clients, employees, schedules, service requests, routes and invoices in one workspace, and gives employees and clients their own portals.

Who is Opshify designed for?

Owners, operations managers, dispatchers and administrators of businesses that send people out to do scheduled service work, such as cleaning, commercial and facility services, landscaping and other trades. Opshify is a general service-operations tool. It doesn't include modules for any one industry.

Can I import my existing clients and employees?

Yes. You can import clients and employees from a CSV file of up to 10,000 rows, and export them again at any time. Clients can be imported as records without a login. Employees can be added as records or invited to sign in.

Can I manage recurring services?

Yes. A booking on the schedule can repeat every 1 to 8 weeks, or every 1, 2, 3 or 6 months. On the Business and Pro / Enterprise plans, service requests can be recurring too.

How does scheduling work?

Bookings appear on the Schedule in a list view and a calendar view. You assign each booking to an employee or a group, set its time and choose whether it repeats. On Business and above, service requests that still need a booking wait in a scheduling queue, and Route Optimization puts each employee's stops in order for the day. Employees see their schedule and route in the employee portal.

Does the AI Assistant change things on its own?

No. The assistant answers questions about your workspace. For supported changes it prepares a proposal, and nothing changes until an administrator reviews the proposal and selects Confirm. Administrators choose which assistant capabilities are turned on in AI Settings.

Can I change my subscription?

Yes, from the Subscription page in your workspace. An upgrade takes effect right away, after you review the prorated amount and confirm it. A downgrade takes effect at your next renewal. Moving to Starter takes effect at the end of the billing period, you keep your paid features until then, and you can undo it before then.

Which features are included in each plan?

Starter is free for up to 3 employees and includes people and client management, scheduling, invoices, both portals and the AI Assistant. Business ($39.00 per month, 5 seats) adds service requests and route optimization. Pro / Enterprise ($79.00 per month, 10 seats) adds live employee tracking and team chat. Paid plans can add employee seats for $5.00 per seat per month.

Is there a mobile app?

Opshify runs in the web browser on phones, tablets and computers, so employees can use the employee portal from their phone. There isn't a separate app to install from an app store.

Do I need a credit card to start?

No. The Starter plan is free and needs no payment details. Paid plans are bought through Stripe's secure checkout, billed monthly in USD.
